1. Our agreement with you
These terms apply to every safari, climb, holiday and service booked with Lucky Wild Safaris, Arusha, Tanzania (“we”, “us”). By paying a deposit you confirm that you, and everyone travelling with you, have read and accept them. The person who makes the booking is responsible for sharing these terms with the whole group.
2. Making a booking
We first agree the route, dates, accommodation and travel style with you and send a written proposal with the full price. When you accept it, we send an invoice with our payment details. Your booking is confirmed once we have received your deposit and sent you a written confirmation.
We will ask for each traveller’s full name as shown in their passport, date of birth, nationality, flight details and any dietary, medical or access needs. Special requests are passed on to our suppliers and confirmed in writing where possible; requests not confirmed in writing cannot be guaranteed.
3. Prices
Prices on our website are guide prices per person, based on two people sharing, and are shown in US dollars. Your written quotation is the price you pay. Once your deposit is received we will not increase it, except for changes outside our control:
- new or increased government taxes, national park, conservation or concession fees;
- significant fuel price increases passed on by airlines or transport suppliers;
- supplier rates that were still provisional when we quoted, which we will mark clearly on your quotation;
- an obvious error in the quotation, in which case we will tell you straight away and you may cancel without charge.
If a change of this kind increases your total by more than 10%, you may cancel and receive a full refund of what you have paid us.
4. Deposits and payments
- A deposit of 30% of the total price confirms your booking.
- The balance is due 60 days before your arrival date.
- Bookings made less than 60 days before arrival are paid in full at the time of booking.
- Where your trip includes domestic flights, peak-season camps or Kilimanjaro permits, we may ask for a larger deposit; this will be shown on your invoice.
We accept bank transfer and card payments. Bank charges and card fees are paid by the traveller, so please send the full invoiced amount and email us your payment receipt. All payments are made to Lucky Wild Safaris’ own business account in Tanzania; we will never ask you to pay a personal account. If the balance is not received on time we may treat the booking as cancelled by you.
5. If you cancel
Cancellations must be sent to us in writing. Charges are a percentage of the total trip price and depend on when we receive your notice:
Domestic flight tickets, Kilimanjaro climbing permits and park fees already paid on your behalf cannot be refunded once issued. We strongly recommend travel insurance that covers cancellation.
6. Changes you make
We are happy to help you change your trip. Changes depend on availability and any extra costs from our suppliers will be added to your price. Changing your travel dates, or reducing the number of travellers, after confirmation may be treated as a cancellation of the original booking under section 5.
7. Changes we make
Safari travel depends on weather, roads, wildlife and flight schedules. We may need to make reasonable changes, such as replacing a lodge with one of a similar standard, changing the order of nights, or adjusting a route. We will tell you as soon as possible and offer an alternative of the same or higher standard; if it is of a lower standard we will refund the difference.
If we must make a major change before you travel, or cancel your trip for reasons within our control, you can choose an alternative trip or a full refund of the money you have paid us.
8. Events beyond our control
We are not responsible for delays, changes or cancellations caused by events we cannot control, including severe weather, natural disasters, epidemics, strikes, political unrest, government action, road closures or changes to flight schedules. Any extra costs during such events (for example extra nights or new flights) are paid by the traveller, which is why travel insurance is essential.
9. Passports, visas, health and insurance
- Your passport must be valid for at least six months after your trip ends, with blank pages for entry stamps.
- You are responsible for obtaining visas for Tanzania and any other countries on your trip. We can advise, but cannot guarantee a visa.
- Please follow your doctor’s advice on vaccinations and malaria prevention, and carry proof of yellow fever vaccination where required.
- Travel insurance covering medical treatment, emergency evacuation and cancellation is a condition of booking. For Kilimanjaro climbs it must cover trekking to 6,000 metres.
10. On safari
Wild animals are unpredictable and sightings, migration movements and river crossings cannot be guaranteed. For your safety, please follow your guide’s instructions at all times, stay in the vehicle unless your guide says otherwise, and respect park rules.
We may end a service for any traveller whose behaviour puts others at risk or breaks the law, without a refund. Activities such as walking safaris, balloon flights and climbing have their own age, health and fitness requirements, which we will share with you.
11. Our responsibility
We plan your trip with care and choose suppliers we trust. Lodges, airlines and other independent suppliers are responsible for the services they provide and work under their own conditions. We are not liable for loss, injury or damage caused by your own actions, by independent suppliers, or by events beyond our control. Nothing in these terms limits any rights you have under the law of Tanzania.
12. If something goes wrong
Please tell your guide or our office straight away so we can put it right while you are travelling. If a problem is not resolved, write to us within 30 days of returning home and we will reply within 14 days.
13. Law and contact
These terms are governed by the laws of the United Republic of Tanzania. Questions about these terms: email info@luckywildsafaris.com or call / WhatsApp +255 747 164 371. How we use your personal details is explained in our privacy policy.
